IMPACT - Focus and Challenge

One way to personalize the school environment is to let students know that their accomplishments are noted. This month’s issue of Focus offers ideas to develop a vibrant recognition program for academics, the arts, activities, and athletics that isn’t limited to bland certificates at an end of year ceremony.

The shortest month of the year occurs right in the middle of winter, when people are more inclined to stay home where it’s warm.  But there are lots of reasons to plan events in February and this month’s issue of Challenge features ideas to heat things up during the winter doldrums.

IMPACT - January Focus and Challenge

These monthly newsletters represent just one of the many and varied components of the Herff Jones IMPACT program.  We hope that you will find Focus and Challenge to be informative and helpful for both you and your students.

·  Focus is designed for Student Council advisers and/or Student Activities directors.

After the busy fall and holiday seasons, there aren’t as many exciting options looming on the calendar and it often seems as if the best of the year is behind you.  This month’s issue of Focus offers ideas to avoid letting members slip into a mid-year slump.

·  Challenge is designed for your student leaders.

With increased use of cell phones and smartphones, the old ways of reaching out to students through posters, announcements, and even emails are just not as effective. This issue of Challenge offers tips for engaging members through the medium they use most—their phone.

Many advisers choose to maintain a Focus and Challenge storage binder as a sure way to have these tools readily accessible to both teachers and students. We value your personal and professional commitment to your students and would appreciate your ideas and/or suggestions for future issues of Focus and Challenge.

Herff Jones IMPACT offers many other exciting programs specifically designed to assist school personnel in their continuing efforts to support and motivate their students and faculty.  We would welcome the opportunity to introduce the newest components of IMPACT to you and your school!

MARKETING – Stitch Achievements Launch

The Stitch team is pleased to announce the launch of the Achievements feature. This is the first feature to allow Stitch users to be recognized and to earn points as they engage in memory-making with their school community.

STITCH ACHIEVEMENTS Q & A

Q: What will the students see?
A: Stitchers who complete various activities will be awarded points. There are also “Missions” which are a series of "Achievements" that users can complete.  With enough points, the user will “Level Up” and receive stars. Stars are an indication of the overall level/score of a Stitch user. These points and stars show on their ID card in the Photostream, My Stitch and Storyline links. There is also a leaderboard that shows the scores of the top 25 users at that school so you can tell quickly which students are most highly engaged in Stitch.

Q: What activities are considered “Achievements”?
A: The list of activities that qualify for points is subject to change, but can be seen by clicking My Stitch > Achievements(see below). The goal is to get students engaged and interacting within their school community.

Q: Can Achievement points be used for anything special?
A: Achievement points are simply a way to encourage involvement both in school and with Stitch, but not necessarily a way to earn tangible products. Schools might consider using them as a jumping off point for contests, recognition, etc.  They are also a great way to find yearbook interview candidates.  Who would know more about student activities than the top 10 Stitchers at the school?

Q: Why does my leaderboard say “Coming Soon”?
A: The Achievements Leaderboard has a time delay.  Before a leaderboard is created, Stitch must be active  and have more than one user with a score. There might be a delay of a few days while the leaderboard is initially populated.

Q: Why is the score slightly different between my ID card and my entry on the leaderboard?
A: Leaderboards have a 15 minute delay while scores from completing various tasks are tabulated and ranked.

Q: Hey! I already favorited photos and stuff! Where are my points?!?!
A: We cannot retroactively credit the scores of every single Achievement that was performed before this feature was launched. The next time a pre-existing user logs on, they’ll be given credit for the Registration activities, but no other pre-existing activities will be scored.  Don’t worry, you’ll be starting on the same level as everyone else.

Q: What if someone tries to cheat and do the same thing over and over for points?
A: Several of the achievements have a “cooling off period” that prevents this.  For example, you can only get the “Welcome Back” achievement for logging on once every two hours.  Otherwise, a student could put themselves on the top of the leaderboard by logging on and off over and over again.

Q: What if I have more questions?
A: Your friendly-neighborhood TSAs have got your back!  This is an industry first, so if they don’t know the answer, they can definitely look it up.

Q: What if I have suggestions for additional Achievements?
A: Email any Stitch suggestions to stitch@herffjones.com.  You even do this from the application, just click Settings (top right) > Contact Stitch.  Of course, Tech Support should be sent to your TSA’s, not the Stitch address.

eDesign Security Upgrade

As recent news stories have shown, any site could fall victim to hacking. To improve user ID and password security for our customers, Herff Jones is taking proactive measures to ensure school data is safe in eDesign and Stitch. On Friday, September 21, eDesign and Stitch will be converting to a new “https” secure address. Visitors to the old address will be automatically forwarded to the new address.

Current: http://hjedesign.com            http://stitch.herffjones.com
New:      https://hjedesign.com          https://stitch.herffjones.com

Please share this information with your school IT personnel so that proper access may be granted to the new url and in the case of the school networks that have opened a specific path to eDesign down to the port level (port 80), so that they can redirect to port 443. In this case, the redirect will be blocked at your school’s firewall until the new address and port are allowed for eDesign and Stitch. Should you need any assistance or have any questions about these changes, feel free to contact our toll-free Tech Support Hotline at 1.877.362.7750. For customers who experience technical difficulty with this change, the TSA team is prepared to explain the port number and URL change.

MARKETING – Everything You Need to Know About Yearbook Critiques and Contests

Opportunities for Feedback and Recognition of Your 2012 Yearbook If you are planning to submit your 2012 yearbook for critique, it’s wise to do so before you leave for the summer. That way, the organizations can take advantage of a larger summer pool of critiquers and facilitate the efficient return of the comments. Hopefully, this would mean you’d have the critique back as school begins and could really incorporate the suggestions that are made. While there have been some changes in membership formats and deadlines, the processes are very much the same. We have compiled information on memberships, critiques and individual contests and created a single FAQ at FAQs > Awards > 2012 Contests & Critiques. Links to association sites are also found there. Or, you can head to Resources > Forms for PDF versions of the membership forms under each organization. Both CSPA and NSPA also offer competitions which recognize individual students for their work. Deadlines for NSPA contests are June 15 and CSPA encourages early submission from spring delivery books as well. Information on both the NSPA Picture of the Year, Story of the Year and Design of the Year contests and CSPA’s Gold Circle Awards (66 categories of yearbook competition) is included in the FAQ and the forms are posted with the membership forms.

TECH – Google’s Picnik Announcement

As you may know, eDesign has a connection to Google’s Picnik image editing site for photo editing features. Customers have been using this service to correct red eye and to add fun effects to photos.

This weekend, Picnik sent a notice to all registered users that the site would be shutting down on April 19, 2012. To read the complete announcement, visit http://blog.picnik.com/2012/01/official-announcement-picnik-is-closing/

How does this affect our customers? The timing of the closure should allow the majority of yearbook customers to finish their book this season without issue. For those customers with later deadlines, there are photo editing alternatives. These aren’t integrated with eDesign, but can be accessed directly for photo editing.

There are several options, such as:
Desktop Software:
· MS Office Picture Manager (for XP computers with Office)
· MS Photo Gallery (for Vista): The majority of Windows-based computers already come with software to crop and remove redeye.
· Apple iPhoto: Apple provides some very useful features for editing and managing photos. This software comes with every Mac.
· GNU Image Manipulation Program (GIMP.org): This is a free desktop program, similar to Photoshop. You may only want to recommend this software to more advanced schools.

Web-based Programs:
· Pixlr: http://www.Pixlr.com
· Aviary: http://advanced.aviary.com/tools/image-editor
· Sumo Paint: http://www.sumopaint.com/start/

How will eDesign edit photos next year? We are investigating a variety of options. Stay tuned for an update later in the year.

TECH –eDesign Message Center, Ladder Search, and Secret Image Enhancements

eDesign continues to enhance the overall yearbook creation experience. Below are the latest new features that are now available.

There is now a new way to filter messages on the Homepage. Notice the new drop down menu at the top of the message screen. Also, messages that have been loaded since the last logon are in bold typeface, in order to draw attention to them.

In the Book View, there are now filters to show each page type in the Ladder, as well as an advanced search that allows multiple combinations of search terms.

In the Library, images saved on a secret spread now get marked as secret. They have a red tab, and can only be viewed by advisers and staff assigned to secret pages. Note: if you want to keep an image secret as soon as it is uploaded, go ahead and place it on a secret page.

Also in the Library, a new button has been added to unused images to rotate the image counterclockwise. There is also a menu item, so multiple library images can be rotated at once.

TECH – eDesign New Features/Enhancements

The eDesign team is pleased to announce the release of several new improvements to the eDesign experience!

Practice Pages: now there is a button at the top of the ladder that takes you to a spread where you can practice design without impacting the book pages. If you decide to keep the design, save it as a template and use it anywhere in the actual book pages.

New Keywords Panel: the Library now has a dedicated keywords panel, so you can see all keywords and the number of photos they are assigned to. The list can also be filtered and is searchable by clicking.

Page Design: now the default proxy point is the center point! That means rotation will occur around the center by default. If you preferred the old upper-left rotation, it can be changed back at any time by clicking the upper left point (or any other corner as well).

Character Styles can now be created by advisers in the Page Design view, as well as in the Index Builder.

TECH-eDesign Portrait Flow Enhancements

The eDesign team is pleased to announce the release of the new Portrait Flow wizard! We incorporated feedback from you and have included new features to improve the experience. Designing and preparing portrait pages has never been so easy!

1. The ability to track and manage flows. Now portrait flows can be given a name and the settings can be edited or copied to other flows. For example, you can create a flow called “1st Grade”, then copy those settings over to a new “2nd Grade” flow.

2. You can also choose to flow before the portraits even arrive, using placeholders. No more calculations to determine how many pages a flow will require. Simply pick the number of placeholders and flow. Then, the flow can be edited when the actual portraits are uploaded by the photographer, school, or plant.

3. The page margins and spacing can be customized for each flow, allowing more control of flow spacing.

4. A live preview shows exactly what the first spread of the flow will look like.

5. No more manually deleting page after page if a mistake is made. Simply edit the flow to change what is needed!

6. An updated Video Help series. These videos allow you to jump right to a specific step, or the whole series can be viewed to become a portrait flow master!

Additionally, there are great new page navigation options to help you proof portraits. Within the page edit view, there are “Previous” and “Next” arrows that allows you to move from spread to spread, without returning to the ladder. Looking over an entire flow has never been so easy. There is also an “All Pages” menu that allows you to navigate to a whole different spread, if desired.

MARKETING – Send Books Now for Consideration In Ideas That Fly, Volume 17

Time to Submit Books for Ideas That Fly, Volume 17

It’s time to submit books for consideration for inclusion in the next volume of Ideas that Fly. This year’s edition will include summer/fall 2010 books and spring 2011 yearbooks. If you want to have your most recent book considered, please make sure to submit it. The design team from the Marketing department selects only from books submitted; if you do not send a copy of your book, it will not be on the table when they start to make selections. The yearly design annual showcases covers, photography, design and coverage as well as theme and overall concept. It is especially important to submit if you did a cool gimmick, something new/interesting your cover or in the way of tip-ins. We LOVE that miscellaneous section, but it can only be as cool as the books that are submitted.

Consider flagging your favorite spreads or photos. It’s interesting to know the back story behind the theme/concept, so if you want to have the editors mark a couple of pages for the design team or provide some details, that would be great.

Books must be received by July 1 to be considered, so make sure you do this before you leave for the summer.

Please send them to:

Ideas that Fly / Marketing
Herff Jones Yearbooks
9601 Monroe Road
Charlotte, NC 28270

The attached form first arrived in last week’s eBlast. Please complete a form either to send with your book or in advance of your book to alert them that it will be arriving.

We cannot return books submitted for consideration in Ideas that Fly as we also use them for examples in other publications throughout the year. The design team is looking forward to seeing your book!

TECH – eDesign New Features

The latest eDesign maintenance release contains enhancements and other changes to make the most of the yearbook experience. They include changes in the following areas.

Page Editing:
· eDesign now uses correct pica/point calculations. Previously, ten-and-a-half picas was displayed as “10p5”. Now eDesign uses a 12 point scale, so it displays as the correct “10p6”. This is an industry standard, and now works the same way as all other desktop publishing software. Please see the Help topic “About Picas and Points” for a detailed review.
· Compounding Shapes: This advanced design feature gives eDesign users the ability to combine multiple closed shapes/paths on the page. Similar to InDesign’s “Compound Path” feature, multiple shapes can be combined, and then images inserted. Please see the Help topic “Compounding Shapes” for more info.
· The plants saw cases where some schools used their web browser as their proof, instead of the PDF proof, resulting in confusion about how certain colors would look on paper. To address this, the following warning text has been added to the color picker when creating a new color:
· “CMYK blends are shown as RGB approximations in the browser, and may vary due to your monitor. See your PDF proof for more accurate color representation or the “About Color” Help topic.

Library:
· eDesign advisers can now zip and upload the contents of a PSPA CD, similar to the Y Online portrait CD upload feature. It is no longer required to mail the CD to the plant to load portraits! However, the plant is still happy to provide this service. Be aware that if you do not mail the CD to the plant, the plant will not be sending directory proofs.
· There is a new portrait printout that is much more like a plant “Directory Proof”, but on 8.5”x11” paper. Use the advanced search or data sort to make your own directory proof. For example, you could search for all the 1st grade, then sort by Teacher name, and print the result.
· The Image Library “dimensions” column now displays the pica dimensions at 300 PPI, as a guideline. Originally this was displaying pixel values. This will allow the staff to easily distinguish a large dominant photo from smaller ones.
· Image uploads can now be minimized to run in the background by clicking the “minus sign” at the top of the upload window. This allows you to work while uploading.

Book Setup:
· Page margins for all spreads in the book can now be adjusted under Preferences. This setting has a visual impact and can be combined with column settings to create a modular grid-based design canvas. But it also impacts the flow area for Portrait Flow and Index Builder! That’s right: adjusting the page margins allows a larger area for either of the flow wizards.

TECH – eDesign Maintenance Update

The latest eDesign maintenance release contains enhancements and other changes to make the most of your yearbook experience.

Additional key commands have been added, as well as a reminder tooltip for each! The shortcut additions are listed below. For a complete list of eDesign key commands, and a printable PDF, see the Help topic.

Shortcut Tool
\ (backslash) Switch to Line Tool
= (equals) Switch to Pen Tool
A Switch to edit path tool
Ctrl+D Select None (Opposite of Ctrl+A)
B Edit Background
N Sticky Note

World Yearbook Templates have been added to the template library. These allow the staff to create pages that match the design of the World Yearbook supplement!

New Delete Rules for Staff: Some advisers had concerns that staff users could delete the templates of others, wiping out hours of design work, as well as delete any photos of students they didn’t like. Now staff users can only delete images and templates they uploaded or created themselves.

We also received feedback that editors should have permission to delete any template. Now they can! Previously, Editors couldn’t delete any templates at all, but that was out of line with the other editor permissions, since they could edit many other aspects of the book.

Otherwise, Advisers and Editor permissions remain unchanged. Below is a quick recap of user delete permissions in the Library. For a full list of staff permissions, please see the eDesign Help “Roles and Permissions” topic.

· Staff: delete any candid they uploaded, or template they designed.
Anyone can remove system art.
· Editors: delete any type of object, except portraits or in-use images.
· Advisers: delete any type of object, except in-use images.

Color Picker Update: some customers expressed confusion about how color mixing works in eDesign. To aid with this, we have added the following text to the color picker when adding a new swatch:

· CMYK blends are shown as RGB approximations in the browser and may vary due to your monitor. See your PDF proof for more accurate color representation or the “About Color” Help topic

Index Builder: updates have been made so the index builder is no longer fooled by names that contain a prefix and middle name (i.e., Mrs. Alison I. Iraheta). Also, a “Snap To” function has been added in the wizard’s Layout step, to make alignment a bit easier.

For eDesign technical support, please contact the TSA hotline at 877-362-7750 or techadviser@herffjones.com.

TECH – eDesign Index Builder Enhancements and Other Tips

The year is in full swing, and here are some announcements and tips to keep you on top of your game!

Index Builder: The latest version of eDesign has been released, and includes the brand-new Index Builder! This feature was discussed frequently during IT Advisory Council and the Summer Sales Summit, and we’re happy to be able to deliver it in time for most customers to use for this season.

Index Builder can be accessed from the Book View > Edit menu, as before. But now, customers are presented with the option to format names and layout, and flow the results directly onto pages. There is also an option to delete an index flow if it needs to be changed, and reflowed.

Be sure to watch the video series for a complete overview of how this feature works, and try it out in your book.

Not sure where the videos are? In the eDesign Help, click “eDesign Videos” in the topic list at the bottom left. There is also a link from the “What’s New” page. Within the list, you’ll find two videos: “Index Builder Wizard – Managing Names” and “Index Builder Wizard – Flowing Index”.

eShare for Android Tips: The app is currently available in the Android Market for Android 2.2 devices that support Flash.

Sneak Peek Tips: It’s not too late to post a Sneak Peek to help sell remaining copies. Here are some of the best examples of schools that have leveraged Sneak Peek so far:
